Setting up the fee structure (payment types, amounts, installments, priorities, banks)

Five settings, done once per academic year, that make payment entry, balances, debt SMS and online fee payment possible.

Updated 06/10/2026

All under Admin Settings (secondary schools have separate O-Level and A-Level pages). Do them in this order:

1. Payment Types

Register every kind of payment: School Fee, Food Fee, Transport, Uniform, Initial costs, Examination… Then assign students on payments required: tick the class levels and the scholar type (Day only / Boarding only / Day and Boarding) that must pay each type. Click a payment type name to make it the default (pre-selected when entering payments and the first thing parents pay online).

2. Fee Amounts

For the academic year shown (change it with Change academic Year), enter the Total Amount (TSh) for each payment type × class level × scholar type. This is the amount a student is expected to pay for the year.

3. Set Installments

How many installments and the amount of each (e.g. 3 installments of 400,000). Used for the “Installments alert” and the payment reminders.

4. Payments Priorities

The order in which money is allocated when a parent pays without specifying (1 = first). Also used by the priority alert.

5. Bank Accounts

Register the accounts/channels payments arrive in: bank name and account name (CRDB — Hope Sec, NMB, Cash, M-Pesa). Every payment entry is tagged with one, which makes the Payments by bank report possible. The system adds ClickPesa (Mobile Money) automatically for online payments.

Per-student reductions (scholarships, staff children) are set on the student's profile in Students › Students List as a reduced amount; balances and parents' Lipa Ada page use the reduced figure.
