Registering students (one by one or by Excel)

Use the form for a few students; upload the Excel template for a whole class. What each field means and how registration numbers are created.

Updated 06/10/2026

Students › Register Students (O-Level, A-Level, Primary, Nursery or College page depending on your school type).

A. One or a few students — the form

Fill: Full Name, Gender, Birthday, Admission Year, Scholar Type (Day / Boarding), Class Admitted, Stream, Admitted From (previous school), Admission Number (your own number, optional), Place of Residence, Nationality, Email, Parent's Mobile Number (used for SMS/WhatsApp and as the parent's contact — write it as 07XXXXXXXX). Primary also has PREM Number and Exam Number; A-Level has the Combination. Click Submit.

B. A whole class — Excel

  1. Under Register Students By Excel Here choose the class level and download the template.
  2. Fill one student per row, keeping the column order and headings exactly; do not merge cells or add extra sheets. Gender as M/F, dates as DD/MM/YYYY, scholar type as Day or Boarding.
  3. Choose the class level, select the file and Submit. You get an Upload Summary (saved) or an error list: FILE FORMAT ERROR = wrong template/format (save as .xlsx from the template); Students with no scholar type = the Scholar Type column is empty for those rows — nothing is saved until you fix and re-upload.

Registration numbers

The system creates the registration number automatically: level prefix + school reg number + admission year + serial, e.g. OS121.2025.015 (O-Level, school S.121, admitted 2025, 15th). Parents log in with this number; it is printed on reports and receipts and never changes even when the student moves up a class.

Register students before teachers upload results — the results Excel is generated from the registered students of each class and stream.
